When sponsored funding—whether extramural or intramural—is used for vertebrate animal-related research, teaching, or testing expenses, the funding must be listed on an approved Animal Use Protocol (AUP) before any funds are spent.
The AUP must include the project title, Maestro number, sponsor name, and a description of the animal activities associated with the funding. An approved AUP may include multiple funding sources, as long as each is properly documented. Additionally, at least one individual must appear on both the approved AUP and the sponsored funding record in Maestro to establish a clear link between the protocol and the funding source. Note that the Principal Investigator (PI) on the AUP does not need to be the same as the PI on the sponsored funding, and the PI for the sponsored funding is not required to be listed as personnel on the AUP.
Once the necessary information is added and the AUP or amendment is approved, the Animal Welfare Office will update the vertebrate animal compliance section in Maestro. This update will include the IACUC approval date (based on the date of AUP or amendment approval when funding is added by amendment) and the AUP expiration date, ensuring that grant funds are expended within the IACUC-approved time frame.
Because of the time-sensitive nature of the extramural award process, PIs are encouraged to initiate an AUP or amendment that includes the new funding as soon as possible after receiving a just-in-time request or award notification. No action is needed by the PI if the funding is already described in an approved AUP, including the required funding information, personnel, and associated animal activities.
