Huron System Use

Huron Research Suite is a disclosure system that is used to centralize Financial Conflicts of Interest disclosures (previously in Maestro), Conflict of Commitment disclosures and Faculty Consulting/External Employment approval requests.

Huron Features

Huron has two distinct features, the Pre-Approval Request (PAR) and the Disclosure Profile (DP).

Pre-Approval Request (PAR)

The pre-approval request allows you to request approval to participate in activities that fall under System Regulations 31.05.01 Faculty Consulting and/or External Professional Employment and 31.05.02 External Employment.

Disclosure Profile (DP)

The Disclosure Profile is the focal point of the Huron system for the discloser. It provides a summary of a discloser’s interests and other outside activities.

Activities Involving Countries Considered High-Risk

Per Texas A&M University System regulation 15.05.04, Huron houses approval requests for activities that involve countries that are considered high-risk.

User Guides

  1. Log in to SSO: TAMUS SSO : Home
  2. Select Manage Menu
  3. Select My Links in the left side menu
  4. Select Add User Link
  5. Follow the prompts to enter the following information:
    1. Link: https://tamu.huronresearchsuite.com/
    2. Description: Huron
  6. Select Save
  7. Select Home tab
  8. Huron link should now appear in your My Links box

  1. Log in to the Huron System using your SSO credentials
  2. Navigate to the Recently Viewed section of the Dashboard. Your Disclosure Profile should be listed as one of the recently viewed items
  3. Select the pin icon to the right of the request link
  4. Your Disclosure Profile will now always be in the Pinned tab of the Recently Viewed section for easy access

  1. Log in to the Huron System using your SSO credentials
  2. Navigate to your Disclosure Profile using the “Recently Viewed” section of the Dashboard or the COI tab
  3. Select Request Pre-Approval
  4. Follow prompts to enter Request Information
    1. Request name/title:
    2. Type of request:
    3. Is your employment at Texas A&M University sponsored under a nonimmigrant benefit?
  5. Select Continue
  6. Follow prompts to enter Activity Information for all questions
    1. Providing more detailed information here can help facilitate a faster review process
  7. Select Continue
  8. Select Submit
  9. A screen will automatically appear, confirming that you have read and understood the
    regulations related to these types of requests
  10. Select OK
  11. Your screen will automatically refresh to indicate that the request you just submitted is now Under Review

  1. Log in to the Huron System using your SSO credentials
  2. Navigate to your Disclosure Profile using the “Recently Viewed” section of the Dashboard or the COI tab
  3. On your Disclosure Profile Workspace, navigate to the Pre-Approval Requests Tab
  4. Select the specific PAR you would like to copy
  5. Select Copy Request
  6. A separate screen will automatically pop up where you will enter the new request name and select OK
  7. Refresh the page until you can select the new copy
  8. Select Edit Pre-Approval Request
  9. Make any necessary updates to the Request Information and/or Activity Information, such as dates, scope of work, time spent on activity, etc.
  10. Select Continue
  11. Select Submit
  12. A screen will automatically appear, confirming that you have read and understood the regulations related to these types of requests
  13. Select OK
  14. Your screen will automatically refresh to indicate that the request you just submitted is now Under Review

  1. Log in to the Huron System using your SSO credentials
  2. Navigate to My Inbox within the Dashboard tab
  3. Select the specific request that is in a state of Clarifications Requested. Alternatively, you can use the link directly from the email notification to take you straight to the request
  4. Read information on the History tab to explain the clarifications needed for the review
  5. Select Edit Pre-Approval Request
  6. Edit any necessary information in the Activity Information section
  7. Select Continue
  8. Select Submit Response
  9. A screen will pop up to allow you to enter any applicable comments and/or supporting
    documents regarding the response you are submitting
  10. Select OK
  11. The Pre-Approval Request will automatically return to a state of Under Review

  1. Log in to the Huron System using your SSO credentials
  2. Navigate to My Inbox within the Dashboard tab
  3. Select the specific request that was assigned to you for review. Alternatively, you can use the link
    directly from the Huron email notification to take you straight to the request
  4. Select View Pre-Approval Request
  5. Review Pre-Approval Request
  6. Select Exit
  7. If any clarifications are needed to finalize your review, select Request Clarifications
  8. Add a comment to describe the clarifications that are needed for your review
  9. Select OK
  10. The PAR will now be in a state of Clarifications Requested and you should be notified when a response is submitted, and the request is ready for your review again
  11. After a response is submitted or if you are ready to submit your review, select Submit My Review
  12. A separate window will automatically pop up where you can answer the following questions:
    1. Do you recommend approval of this request?
    2. Comments
    3. Supporting documents
  13. Select OK
  14. History tab will show Intermediate Review Submitted and automatically route to the next reviewer, if applicable

  1. Log in to the Huron System using your SSO credentials
  2. Navigate to My Inbox within the Dashboard tab
  3. Select the specific request that was assigned to you for review. Alternatively, you can use the link directly from the email notification to take you straight to the request
  4. Select View Pre-Approval Request
  5. Review Pre-Approval Request
  6. Select Exit
  7. If any clarifications are needed to finalize your review, select Request Clarifications
  8. Add a comment to describe the clarifications that are needed for your review
  9. Select OK
  10. The PAR will now be in a state of Clarifications Requested and a notification will be sent to the discloser that additional information is needed
  11. After a response is submitted or if you are ready to submit your review, select Submit Ancillary Review
  12. A separate window will automatically pop up where you can answer the following questions:
    1. Select the review you are submitting
    2. Have you completed your review of this request and/or provided input, if needed?
    3. Comments
    4. Supporting documents
  13. Select OK
  14. History tab will track that you Submitted Ancillary Review

  1. Log in to the Huron System using your SSO credentials
  2. Navigate to your Disclosure Profile using the “Recently Viewed” section of the Dashboard or the COI tab
  3. Read the Instruction Center for additional information
  4. Select Edit Disclosure Profile
  5. Read Instructions and Policies
  6. Select Continue
  7. Complete Entity Disclosure Information page, as appropriate
  8. Select Continue
  9. Complete TAMU Additional Info page
  10. Select Continue
  11. Select Certify and Submit
  12. A certification screen will automatically appear where you will certify that all of the information
    provided is correct, accurate and complete
  13. Select OK
  14. Your screen will automatically refresh to show your Disclosure Profile Workspace that should reflect today as the last completed date and a No Action Required state

Proxy – A person who is authorized to act on behalf of the discloser. A proxy may enter necessary information in a Disclosure Profile; however, the proxy cannot certify and submit the Disclosure Profile or respond to a Clarification Request.

  1. Log in to the Huron System using your SSO credentials
  2. Navigate to your Disclosure Profile using the “Recently Viewed” section of the Dashboard or the COI tab
  3. Select Assign Proxy
  4. Type in the name of the proxy or select them from the ellipsis button
  5. Select OK
  6. The proxy will receive an email notification about the assignment and the Disclosure Profile will also appear in the proxy’s Dashboard Inbox

  1. Log in to the Huron System using your SSO credentials
  2. Navigate to your Disclosure Profile using the “Recently Viewed” or “Pinned” section of the Dashboard or the COI tab
  3. Select Edit Disclosure Profile
  4. Navigate to the Entity Disclosure Table in the Entity Disclosure Information section
  5. If the activity has ended but still falls within the preceding 12 months, select the Update button to the left of the entity in the disclosure table and add any notes and/or attachments to indicate that the activity is no longer active
  6. If the activity has ended and no longer falls within the preceding 12 months, select the blue X to the right of the entity to delete the entry entirely
  7. If the activity also required a Pre-Approval Request (PAR), navigate to the Approved Requests table in the Entity Disclosure Information section
  8. Select Mark Complete
  9. Select Continue until you reach Complete Disclosure Profile page
  10. Select Certify and Submit
  11. A certification screen will automatically appear where you will certify that all of the information provided is correct, accurate and complete
  12. Select OK
  13. Your screen will automatically refresh to show your Disclosure Profile Workspace that should reflect today as the last completed date and a No Action Required state
